Responsibilities:

  • Support the VP, Operations - US in all aspects of their planned work.
  • Manage the VP and management teams calendar, including scheduling meetings, appointments, travel arrangements (domestic and international), and speaking engagements.
  • Organize and prepare for meetings by gathering documents, creating agendas, taking minutes, and coordinating logistics.
  • Track project progress, ensuring deadlines are met, stakeholders are informed, and any issues are addressed promptly.
  • Act as a liaison between the VP, management team - US and external parties, screening calls and visitors, answering inquiries with professionalism, and directing communications as needed.
  • Assist with the processes and activities of the US Management teams.
  • Prioritize and relay emails and calls as necessary.
  • Prepare, reconcile, and submit expense reports.
  • Maintain records and documentation for the US Management teams, handling sensitive and confidential information.
  • Complete various support tasks, including creating PowerPoint presentations, spreadsheets, reports, and agenda materials.
  • Draft, review, and send communications on behalf of the VP or management team as required.
  • Provide additional support to other departments, administrators, or executives as needed.

  • Excellent organizational and project management skills.

  • Agile in adapting to shifting priorities.
  • Advanced proficiency in Microsoft Office 365.
